What these terms cover
These Terms and Conditions govern enrolment, attendance, and participation in the Academy’s Sunday school programmes and related activities, as well as the use of our communications and digital platforms. By applying for enrolment, paying fees, or having a student attend, you (the parent/guardian or adult student) agree to these Terms.
Key definitions
- “Student”: the child or person attending classes or activities.
- “Parent/Guardian”: the person legally responsible for the Student.
- “Term”: an academic teaching period defined by the Academy.
- “Services”: education, activities, communications, trips, events, and related support the Academy provides.
Eligibility and enrolment
- Students must meet any age, level, or readiness requirements set for each class.
- Enrolment is confirmed only after (a) completing the application, (b) acceptance by the Academy, and (c) payment of required fees by the due date.
- Please inform us of any learning, medical, or accessibility needs on application so we can assess reasonable adjustments. We will endeavour to support inclusion within our resources and safeguarding obligations.
- You confirm that all information provided is true, accurate, and kept up to date.
Fees, payments, and refunds
- Fees cover teaching and standard materials unless otherwise stated. Additional costs (e.g., trips, exam registrations, special materials) will be communicated in advance.
- Fees are due by the stated deadlines. Late or non-payment may result in refusal of attendance.
- Registration/enrolment fees are non-refundable unless required by law.
- Refunds:
- Before a Term starts: Cancel in writing at least 7 days before the Term start date to receive a refund of tuition fees for that Term (less any non-refundable fees).
- After a Term starts: Pro‑rata refunds are not normally provided. In exceptional, documented circumstances (e.g., relocation or serious illness), we may consider a partial goodwill credit or refund at our sole discretion.
- Session cancellations by the Academy: If we cancel a session and cannot provide a suitable rescheduled date or equivalent provision during the Term, we may offer a pro‑rata credit or refund at our discretion.
- Payment methods: As communicated by the Academy (e.g., bank transfer, card, online portal).
Attendance and punctuality
- Consistent attendance is essential. Please inform us in advance of absences where possible.
- Drop‑off and pick‑up: Parents/Guardians remain responsible before official start and after end times. Please collect Students promptly. Repeated late pickups may incur a reasonable supervision fee.
- Leaving early: A Student may only be collected by a Parent/Guardian or approved adult listed on the Student’s records, with ID if requested.
Code of conduct and behaviour
- Students must treat staff, volunteers, peers, and property with respect.
- Bullying, harassment, discrimination, abuse, vandalism, and disruptive conduct are not tolerated.
- Consequences may include temporary removal from class, parental meetings, or suspension/termination of enrolment without refund, subject to law.
- Personal devices must not disrupt learning. Use may be limited to supervised purposes.
Safeguarding and child protection
We follow safeguarding principles consistent with UK legislation and good practice. Staff and regular volunteers engaged in regulated activity will undergo appropriate background checks where required. We may share relevant information with authorities when legally required.
Health, medical, and emergencies
- You must disclose relevant medical conditions, allergies, and required medication, and keep this information updated.
- Medication can only be administered with documented consent and in line with our procedures.
- Students who are unwell or have contagious conditions should not attend. We may request collection if a Student becomes unwell during a session.
- In emergencies, we will act in the Student’s best interests, including contacting emergency services. You consent to us seeking urgent medical treatment when reasonably required.
Curriculum, language, and materials
Our programmes focus on Arabic language and related cultural/religious studies. We may adapt groups, pacing, and resources based on assessment and class needs. Materials are for personal educational use only and may not be copied or distributed without permission.
Digital platforms and acceptable use
- We may use email, SMS, or approved apps/portals for updates, assignments, and notices.
- Where Students access Academy platforms, they must use them responsibly, respect privacy, and not share inappropriate, harmful, or infringing content.
- Do not share login details. You are responsible for activity under your/your child’s account.
Photography, audio, and video
- We may request consent to record or photograph Students for educational records or promotional materials (website, social media, newsletters). Consent is optional and can be withdrawn prospectively by written notice.
- Parents/Guardians and Students must not record or photograph others without explicit permission from the Academy.
Trips, events, and off‑site activities
Separate consent and information may be required for trips or special events. Supervision and transport arrangements will be communicated in advance, and risk assessments will be carried out as appropriate.
Property, uniform, and lost items
- The Academy is not responsible for loss, theft, or damage to personal items brought to sessions unless required by law.
- Please label belongings clearly.
- Where a dress code or uniform is specified, Students should comply.
Health and safety
We maintain reasonable health and safety standards, including fire drills and risk assessments as appropriate. Students must follow safety instructions and use equipment only as directed.
Force majeure and weather
We may suspend or modify Services due to events outside our reasonable control (e.g., severe weather, building closures, public health directives). We will endeavour to provide alternative dates or remote learning where feasible.
Complaints and feedback
We welcome feedback. For concerns, please contact the office in the first instance. We aim to resolve issues promptly and fairly under our complaints procedure.
Data protection and privacy
We process personal data in accordance with applicable UK data protection law and our Privacy Policy, which explains what data we collect, why, how long we keep it, and your rights. By enrolling, you acknowledge that you have reviewed our Privacy Policy and consent to the processing described therein, where consent is the appropriate legal basis.
Intellectual property
All Academy content, logos, teaching materials, and site content are protected by intellectual property rights. You must not copy, distribute, or adapt materials without written permission, except for personal study.
Liability
- We do not exclude liability where it cannot be excluded by law (e.g., for death or personal injury caused by our negligence).
- Subject to the above, our liability for loss arising from or in connection with the Services is limited to the total fees paid for the Term in which the incident occurred. We are not liable for indirect or consequential loss.
Suspension or termination
We may suspend or terminate a Student’s place for material breach of these Terms, non-payment, or safeguarding/behaviour concerns. We will act reasonably and, where appropriate, discuss steps to resolve issues.
Changes to services and terms
- We may make reasonable changes to timetables, staffing, venues within Bradford, or curriculum to improve quality or for operational reasons.
- We may update these Terms from time to time. The latest version will be posted on our website. Continued attendance after changes take effect constitutes acceptance.
Governing law and jurisdiction
These Terms are governed by the law of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
